What Not To Do When Working With a Virtual Assistant

Working with a Virtual Assistant should make things easier, not more complicated. But getting the most out of that support means setting them up for success. That starts with how you delegate, how you communicate, and how you manage the relationship.

If your goal is to get time back and keep things moving behind the scenes, here’s what to avoid when working with a VA.

Don’t leave them guessing.

If you’re vague with your instructions or forget to provide key details, your VA is going to spend more time chasing clarity than completing the task.

Instead: Be as specific as possible when delegating. Include the ‘why’ behind the task, links to tools, examples, and any outcomes you're expecting. You’ll get better results, faster.

Don’t expect instant turnarounds every time

Got an urgent task? Totally fine - just don’t make it the norm. If every request is “needed yesterday,” you’ll end up with rushed work and a stressed-out VA.

Instead: Give reasonable deadlines and plan ahead when you can. Your VA will have more time to deliver high-quality work, and you’ll both avoid the last-minute panic.

Don’t micromanage

If you’re hovering over every task, re-checking every email, and redoing what your VA has already done -you’re not actually saving time. You’re doubling the workload.

Instead: Train them well, give clear handovers, and trust them to take the lead. The more you let go, the more value they can deliver.

Don’t forget they have office hours too

If your VA isn’t in the same time zone or doesn’t work full-time, you’ll need to keep that in mind. Sending an urgent message at 9pm and expecting a reply? That’s not the vibe.

Instead: Be upfront about deadlines and check availability if something’s time sensitive. Most issues can be avoided with a little forward planning.

Don’t skip the feedback

A VA isn’t a robot - they’re a human being doing real work behind the scenes to keep your business moving. They want to know what’s working, what could be better, and where they’re making an impact.

Instead: A quick “great job” or a bit of constructive feedback goes a long way. It builds trust, helps them improve, and keeps the working relationship strong.

If you want to make the most of your VA, think partnership, not task-dumper.

Communicate clearly, manage expectations, and trust them to do what they do best.
